Connect Gmail or Outlook

Updated

When a candidate doesn't accept your LinkedIn invitation, a campaign can write to them by e-mail instead. The e-mail goes from your own mailbox, Gmail or Outlook, and replies land in Navigent's inbox next to your LinkedIn messages.

Connect your mailbox

  1. Click Connect your e-mail in Get started, or open Settings > Connected accounts.
  2. Navigent tells you what's about to happen, in one line: Google or Microsoft will ask you to grant access through Unipile, which Navigent uses to send and receive messages.
  3. A login from Unipile opens. Sign in with the Google or Microsoft account you want to send from.
  4. Google or Microsoft asks whether Unipile may have access. Approve it.
  5. You're taken back to Navigent, and the mailbox shows as connected under Connected accounts.

Why it says Unipile

Navigent connects Gmail and Outlook through Unipile's own apps, which Google and Microsoft have verified for sending and reading mail. That's why the screen where you grant access names Unipile rather than Navigent.

Navigent never sees your password and never stores your session or your access token. Unipile holds the connection.

What Navigent keeps

Only conversations with candidates in your campaigns. Anything else that arrives in your mailbox is discarded unread and never reaches Navigent's database.

How Navigent protects your sending

  • A gentle start. A new mailbox sends at most 20 e-mails a day in its first week, so the domain warms up. After that the limit starts at 40 a day, with a ceiling of 150.
  • Working hours only. Sends go out on weekdays between 8:00 and 16:00 in the account's time zone.
  • Address checks. Before the first e-mail step, an address that hasn't been checked in the last 30 days is checked again. Addresses that can't be confirmed get no e-mail unless you turn that on for the campaign.
  • No tracking. No pixel and no rewritten links. Navigent sees replies, not opens or clicks.

When the mailbox needs reconnecting

If access stops working, for instance because it was revoked in Google or Microsoft, the mailbox stops sending and the candidates in your campaigns wait rather than fail. You'll get an e-mail telling you to reconnect.

  1. Open Settings > Connected accounts.
  2. Reconnect the mailbox through the same login.
  3. Your campaigns carry on where they stopped.

If you disconnect the mailbox, campaigns sending from it stop, and the message history stays.

Good to know

  • Each user connects one mailbox, Gmail or Outlook.
  • Connecting Outlook isn't the same as signing in. You sign in to Navigent with Google or with a link sent by e-mail.
  • If your IT team limits which apps can access your Google Workspace or Microsoft 365, an administrator may need to approve the access before you can connect.
  • From a campaign's preview you can send a test to your own address.
  • Later, Navigent will move the connection to its own Google and Microsoft apps. Each mailbox will then need reconnecting once, and you'll be told two weeks ahead.
