Export

Updated

You can take a role's longlist and shortlist, and a campaign's results, out of Navigent as a CSV file, for a spreadsheet for instance. Anyone who can see the list or the campaign can export it. The owner can also take all of the organization's data at once.

Export a longlist or shortlist

  1. Open the role and switch to the List view.
  2. Choose the Longlist or Shortlist tab.
  3. Click Export CSV. You see how many rows and which columns you'll get.
  4. Confirm with one click. The file downloads straight away.

The longlist export has everyone on the longlist; the shortlist export has the candidates you've said yes to.

Export a campaign's results

  1. Open the campaign.
  2. Click Export CSV and check the rows and columns.
  3. Confirm. The file has one row for each candidate in the campaign.

What's in the CSV file

Longlist and shortlist: name, title, company, city, LinkedIn profile, band, score, whether the candidate is recommended, status, who decided and when, how many requirements are met, missing and to clarify, the e-mail address if it has been unlocked, and whether the person is on the do-not-contact list.

Campaign results: name, LinkedIn profile, campaign, sender, current step, status, when the invitation was sent and accepted, the first reply, the reply's label, and the reason if the sequence stopped.

Never in a CSV file: photos, notes, message text, the AI's reasoning, or anything from another workspace.

An export never looks up an e-mail address. An address is unlocked when a campaign finds it at an e-mail step, and only unlocked addresses are included.

Column headers are in the language you use the app in. In English the separator is a comma; in Danish it's a semicolon, which Danish Excel expects. The file is UTF-8, so æ, ø and å come out right, and any cell that could be read as a formula is turned into text. Navigent doesn't keep the file; it goes straight to you.

Export all of your organization's data

The owner can take everything the organization holds in Navigent in one go.

  1. Open Settings > Security.
  2. Click Export all data.
  3. When the file is ready, you get an e-mail with a link that works for 7 days.

The file is a ZIP with roles, candidates, decisions, assessments, notes, campaigns and messages, the do-not-contact list, the users, the export log and the activity, the photos as files, and each role's shortlist as CSV. You can make one once a day. Navigent keeps it for 7 days, then deletes it.

The export works for as long as the organization exists, including after the subscription has ended and the organization is read-only. If the owner deletes the organization, the export is offered first.

Every export is logged

Before a file is sent, Navigent records who exported what, from which role or campaign, with which columns and how many rows.

  • Under Settings > Exports, owners and admins see every export in the organization. A member sees their own.
  • Each export also appears in the workspace's Activity.
  • The log is kept for 2 years.

Good to know

  • Once data is exported, Navigent's deletion rules don't reach the file. You're the controller of it, as you are of the rest of your candidate data.
  • You can export CSV up to 10 times an hour, and your organization up to 50 times a day.
  • Analytics can't be exported.
