Notes, mentions and activity

Notes keep what your team knows about a candidate in one place. A mention gets a colleague's attention, and Activity shows what has happened in the workspace.

Write a note

  1. Open the candidate's review card, from the thread or the List view.
  2. Write your note under Notes.
  3. Save it.

Notes are plain text, up to 5,000 characters. Everyone with access to the workspace can read and write them. They're listed newest first, with the author and the time, and marked edited if someone changed them. In the List view, the candidate's row shows how many notes there are.

A note belongs to the candidate, not to the role. It follows them into every role in the workspace, so what you wrote in one role is there when the candidate turns up in the next.

Mention a colleague

  1. Type @ in the note.
  2. Pick a colleague from the list. It shows only people with access to the workspace, so a mention never reveals a candidate to someone who couldn't see them.
  3. Save the note.

Your colleague is notified in the app and, unless they've turned it off, by e-mail. The e-mail never quotes the note; it links to it. They can switch the e-mail off under Settings > Notifications.

Edit or delete a note

  • You can edit and delete your own notes.
  • The organization's owner and admins can delete any note.
  • A deleted note leaves a Note deleted line with its author and time, but no text.

Follow the Activity feed

Activity on Home shows what has happened in the workspace, newest first: roles created and handed over, searches started and finished, decisions, notes and mentions, campaigns started and stopped, replies, exports, and people joining.

  • Each line says who, what and when, and links to what it's about. If that has since been deleted, the line says so.
  • Filter by person, role or kind. Mine shows what concerns you: your roles, your mentions and replies to your campaigns.
  • Everyone with access to the workspace sees its activity. It's kept for 12 months.
  • The feed is a record, not a chat. Nothing is written into it by hand.

Good to know

  • Notes are never sent to an AI model and never included in a CSV file. They are part of the organization's full export.
  • Notes are deleted with the candidate, under the usual deletion rules. A note doesn't keep a candidate; being on the shortlist of an active role does. See Data and deletion.
  • If a candidate asks you what you hold about them, the notes are part of the answer. They're on the candidate's card with everything else.
