Team and seats
Everyone in the organization shares the same searches and e-mail addresses, and everyone with access to a workspace shares its roles. Each user has their own seat, their own LinkedIn account and their own mailbox.
Seats
Seats are bought upfront, and each user and each open invitation takes one. Settings > Members shows how many are in use, for example "3 of 5 seats in use".
The owner changes the number under Settings > Subscription with + and −. More seats apply at once; fewer apply from the next period. See Subscription and billing.
Invite a colleague
Owners and admins can invite.
- Open Settings > Members.
- Enter your colleague's e-mail.
- Choose whether they're an admin or a member.
- Choose their access: all workspaces or selected ones.
- Send the invitation.
The invitation is in the language you use the app in, and it's valid for 7 days. Your colleague has to sign in with the address it was sent to, and accepts the terms on first sign-in. They then get their own Get started checklist, so they can connect their own accounts.
If every seat is taken, the form is replaced by one line. The owner sees Add seats, which opens Subscription. An admin sees Ask the owner for more seats, which e-mails the owner.
Revoke an invitation, or remove someone
- An open invitation can be revoked, and its seat is free at once.
- When you remove someone, their seat is free for a new invitation, their connected accounts are disconnected, and their roles pass to you. Before you confirm, you see how many roles that is and which running campaigns will stop.
- A free seat is still paid for until the owner lowers the number.
Owner, admin and member
- Owner: everything, including the subscription, billing, the number of seats and deleting the organization.
- Admin: invites and removes people, sets workspace access, makes people admin or member (but can't change an owner), creates and deletes workspaces, and manages the organization's settings. Not billing.
- Member: works in the workspaces they have access to.
Owners and admins always have access to every workspace. A member has access to all of them or to selected ones. What someone can't do isn't shown to them at all.
Workspaces
A workspace holds roles, candidates and campaigns, for example one per client. Owners and admins create one with New workspace at the bottom of the workspace list. Your searches and e-mail addresses cover the whole organization, but candidates are never shared between workspaces.
Owners and admins can turn Show photos off for a workspace, for a client who doesn't want faces seen before a decision, say. Initials then appear everywhere in that workspace, and no photos are fetched at all. Turn it back on and photos appear for new candidates at once, and for existing ones gradually.
Shared roles, each with an owner
Every role is shared with everyone who has access to its workspace, and anyone can start a search for it, calibrate, review and decide. There are no private roles.
Each role has an owner, at first whoever created it. The owner gets the e-mails about the role, when its search is ready and when shortlisted candidates are about to be deleted, but ownership grants no extra rights. The roles list and the top of the role show the owner, and the Mine filter shows your own.
The role's owner, the organization's owner or an admin can hand a role to anyone else with access to the workspace. The new owner gets an e-mail.
When several people work on one role, you see each other's decisions as they happen, and the List view shows the initials of whoever decided. Notes, mentions and activity are covered in Notes, mentions and activity.
Good to know
- A user can belong to only one organization. Accepting an invitation while in another one shows an error.
- If you work alone, you won't see the organization at all until there's a second user or workspace.
- The last owner has to hand over ownership or delete the organization before deleting their own account.
